Romynox

Less manual work, without overhauling the process.

At Romynox, too many small steps sat between start and finish. We automated three recurring time sinks with n8n and coached the team on them at the same time, so it didn't stay a project but became part of the work.

The situation.

At Romynox, a lot of small steps sat between start and finish. The work itself was fine, but all the handovers and checks made the process restless and error-prone. Romynox wanted more calm and overview, less manual work and a shorter lead time.

What we found.

Three time sinks everyone could point to: recurring checks, information passed from hand to hand, and small handovers where things got stuck. Tasks that are small, but come back every single week.

Our approach.

We built flows in n8n for those three points, step by step. Build, test, improve, go live, then on to the next one.

Just as important: we coached the team on a short, fixed rhythm. A quick daily look at what's running, a small adjustment, move on. Automation nobody follows up on stalls within a month. By putting it straight into the daily routine, it became a way of working instead of an extra project.

What we put in place:

  • Simple, explainable flows with logging and clean error handling
  • A short runbook: what the flow does, who checks when, how to pause or adjust something
  • Small dashboards that show what's happening, so everyone can follow along

How it landed.

The invoice check caught an error before the invoice went out the door. It's a small moment, but it's the moment a team starts to believe this works. Not because it saved five minutes, but because a customer never knew something almost went wrong.

What it delivered.

Shorter lead time, fewer errors and less ad hoc firefighting. The team stays in control and can tweak the flows themselves while the repetitive work happens in the background.

Time and team.

A few weeks. One builder and one coach from our side, people from finance and operations on the Romynox side.
