The situation.

Stayokay is a Dutch hostel chain with lots of guest contact, many locations and shifting teams. Staff wanted to work faster and better with new tools, but after a busy shift there's no hour left for theory. The ambition was noticeably better work on the floor: shorter, friendlier emails, faster answers to the questions that come back every week, and less time lost on writing.

What we found.

Everyone saw the potential, but there was no fixed rhythm. People ran loose experiments, a few things worked and the rest faded away. Teams asked for something to hold on to that fits the pace of their day.

Our approach.

For each team we picked one concrete goal and practiced with real situations: emails to guests, replies to reviews, short posts for social media. We used the texts that actually had to go out that week.

• A champion at every location who keeps the rhythm going when we're not there

What we put in place was a simple ritual: ten minutes at the start of the shift. Look at an example, give it a try, done. All in Stayokay's tone of voice, with clear guidance on what you do and don't do.

How it landed.

A front office employee rewrote a tricky email in two minutes. Shorter, friendlier and clearer. Small wins like that do more for adoption than any training, because they travel around the team without us in the room.

What it delivered.

After six weeks the habits had stuck. Less searching, better and shorter texts, fewer correction rounds. No separate AI program anymore, just part of the job.
